When we come to your place we need
Think about the venue carefully. Think about the comfort of the presenter [who will be working flat-out for a long time] and the participants. Small chairs are not suitable for adults! We also need space for people to sit, and people to dance with most workshops. This means that centres are often not suitable, there is insufficient space for 60 or more people (as an example) to move with freedom as well as 60 or more adult sized chairs. One toilet for 60 or more people in a child centre is not suitable. Think about light...can the room be darkened so participants can see the screen easily?
Registered Clubs [RSL etc] will rent their meeting rooms at a very reasonable cost and this can be factored into your ticket costs. When spread over 60 participants, the cost will be minimal. They will provide food and assist in many ways and do the cleaning up. It's worth it really. If the workshop is going to be messy, arrange for plastic to be placed under the tables. It is easily moved following the presentation.
Air-conditioned Venue (not water cooling) especially in the warmer months usually September - May. We want participants and the presenter to be fully alert. You may be used to the climate in your area but others may not be.
When Joy is coming alone, “I need a personal assistant to pick me up/return me to/from the airport, take me to/pick up from motel. Take me to/return me from the venue.”
Please provide Joy and Peter with plates of food, water/coffee during the workshop breaks while people are talking to us, we starve otherwise.
We will bring a laptop and data projector for PowerPoint presentation of the workshop. We need a screen with table for Joy and 5 long tables to display our books and CDs for sale.
We bring a selection of wonderful books relevant to the topic. They will be for sale during the breaks. Payment can be made by cash in addition we have a mobile EFTPOS machine with us to for customer convenience, also accept cash, cheques and we will invoice centres if authority to purchase exists.
A large clear space to work in; free of overhead decorations/hangings and space for participants to move [for some workshops].
A piano [in some workshops] if available. Easy access to building/car parking. A trolley is needed to bring in our cartons and bags.
Mobile & Phone numbers of the organising body's contact people.
Confirmation before we purchase airline tickets and accommodation.
Venue open at least 60 minutes before presentation begins to allow us to set up and greet the attendees.
Other materials [paper, pencils, scissors, glue, musical instruments etc. may be required, Joy will tell you so you can ask participants to bring with them if necessary]
Joy and Pete Consulting will supply
Notes will be sent to you by post for you to print to hand out to those attending.
Certificates:
Joy will send suggestions for Certificates that will include topics in the workshop. You print them. It's a good idea to allow time well before the presentation to sign certificates produced by the body organising the workshop.
Ideal planning suggestion:
A Friday evening workshop 6.00 to 9.00 [organisers to serve a light snack and drinks] as well as Saturday 9.30 to 3.30/4.00. Participants always remember the quality and comfort of the venue as well as the food. You want people to come again? Take care of these factors and they will.
Brochure:
When you send out brochures/flyers for the workshop, send us one. This tells us where the workshop is, what times you have told participants, the meal arrangements and a whole heap of other details. Essential!
Breaks, supper, lunch etc. Sitting and concentrating for 2.5 hours in one stretch is difficult for any of us. Joy will schedule a break about 7.30 [in an evening presentation] for about 30 minutes, for networking, asking questions privately, something to eat and drink, toilet, walk around, look at the books on display for sale. In a full-day session we will have at least 2 breaks, one about 10.30 or 11.00 for 15 minutes or so and another for about 45 minutes at 1.00.
People arriving straight from work might appreciate a cup of tea or coffee and perhaps some fruit. Make sure you put on your flyer that you will be serving refreshments so participants don’t feel they have to us the local drive-thru!
If you are not catering for lunch, collect menu’s from a local business and ask participants to complete an order earlier in the day, phone through the complete order and ask someone to pick up. Collect money. This gives participants time to eat and not have to line up at a local business. You may also suggest on your flyer that participants bring a paper bag lunch with them.
